Mortgage Call Report Readiness: Organize the Numbers Before the Deadline

By Greenkey Accounting Services

Mortgage Call Report readiness starts with organized accounting records, supported loan activity and a clear handoff to the person responsible for the filing. Assign each data source, reconcile material differences and document how the records support the applicable reporting fields.

NMLS introduced Form Version 7 beginning with first-quarter 2026 reporting for licensees required to file the MCR. Its current guide distinguishes company-level Financial Condition information from Residential Mortgage Loan Activity reported by state. That distinction matters when arranging the supporting work.

Confirm what applies to your company

Identify the company's licenses, reporting responsibilities, authorized preparer and reviewer. Consult the current NMLS guidance and applicable state requirements. Avoid assuming that a broker, lender and servicer all have identical reporting components or submission frequency.

As reviewed on October 10, 2026, the NMLS guide lists Q3 RMLA and State-Specific Supplemental Form submissions as due November 14. That date falls on a Saturday in 2026. Verify the applicable treatment and any state-specific guidance with your filing professional; do not assume an automatic extension. Use an earlier internal review target.

The guide lists quarterly Financial Condition reporting for mortgage lenders and servicers, and annual Financial Condition reporting for mortgage brokers within 90 days of calendar year-end. Confirm your company's classification and requirements before building the timetable.

Build a source and responsibility list

For each required data group, identify the source system, report, cutoff, person responsible and reviewer. Loan activity may come from a loan-origination system such as Encompass, while financial information comes from the accounting records. An exported spreadsheet is useful only when its definitions and reporting period are clear.

Keep the current field definitions and approved mapping with the preparation file. If a field or process changed under Version 7, document the change, its source and how the company applied it. The authorized filing professional should resolve regulatory interpretations.

Review the Balance Sheet and resolve exceptions

Reconcile operating bank accounts and support significant receivables, liabilities and debt balances. Review suspense or clearing accounts for unresolved items. Confirm that the company and reporting period match the preparation file, and explain adjustments made after the original close.

Then review a trailing Profit & Loss and the General Ledger. Investigate expenses or revenue in the wrong category, entity or period. Retain the support for corrections, identify who approved them, and note whether an earlier report needs to be reconsidered by the responsible preparer.

Bridge loan activity and accounting differences

Compare the relevant operational exports with accounting support using documented definitions. Loan principal volume is not the same as brokerage revenue. A difference between an activity total and a financial statement total may reflect what each report measures, not a posting error.

Prepare a bridge for meaningful differences: cutoff timing, scope, state allocation, transaction status or another documented reason. Correct genuine errors and explain valid differences. Do not force unrelated totals to agree or overwrite a supported record solely to clear a warning.

Finish with a reviewable handoff

Provide the reconciled financial statements, supporting schedules, operational source reports, field mapping, adjustment log and unresolved questions. Use version names and dates so the preparer can identify the final package. Confirm who approves the filing and who retains the submission evidence.

After submission, keep the final support together with any questions and corrections. Note what delayed preparation and improve the next close. Reporting readiness works best as a maintained process, rather than an urgent export shortly before the deadline.
